Field Group
Field Group is a container where you organize and group related Field Labels together. Once a Field Label is created, you can place it within a Field Group to organize and manage similar types of data fields effectively.
Once a Field Label is set up, you must now put elements in the group for that field.
Creating a new Field Group:
- Expand Expense by clicking on the arrow .
- Expand Additional Fields by clicking on the arrow .
- Click Field Group
- Click Add
- Fill in the following fields:
- Group ID*: Enter an ID for the group. The maximum length of this field is 20 characters.
- Name*: Enter a name to identify the field group. The maximum length of this field is 100 characters.
- Click Save
- Once you click Save, another tab will show up called Group Details.
- Click on Group Details
- Click Add
- Field Code: Enter a code for the field.
- Name: Enter a name for the field. The value in this field is what the users will see in the drop-down menu.
- Description: Enter in a description for the field.
- Restrict Access: Select Yes to restrict the field. Select No if the field is available for all.
- Active: Select whether this line is available for selection by select Yes or No.
- Click Save All
- Assign: If Restrict Access is set to Yes make sure to complete this section. Click on the Assign link to access the restriction setup.
- Click on the Assign link under the Group Details tab, then press Add to add a restriction based on the following fields:

- Operating Unit - If the field is restricted based on a specific operating unit. Otherwise leave as ALL.
- Department - If the field is restricted based on a specific department. Otherwise leave as ALL.
- Employee ID - If the field is restricted based on a specific Employee ID. Otherwise leave as ALL.
- Vendor - If the field is restricted based on a specific Vendor. Otherwise leave as ALL.
- Click Save
- Repeat step 9-11 as necessary until all the group details are entered.
