Time import via template
If you have multiple entries to import and batch together, this can be done through a template.
Enable feature
To get access to the feature you must add it to your role:
In the admin module expand Security menu.
Expand the Role Manager menu.
From the Role List, click on the applicable Role you want to enable this feature for
On the Accesses list add Data Piping Import Transaction Time
To download the template
In the admin module expand Data Piping menu.
Expand the Data Import menu.
Click on Time
On top navigation bar, click on Action → Import From File
In the pop up window, click on Download Template
Locate where the file downloaded (this will be different based on your browser settings)
Fill out the fields according to the template instructions. A good way to see valid values for each field is to create a manual entry. If your configuration does not require a level 3 or level 4, you can leave those fields blank. For fields that are usually defaulted to the users home setting, (i.e. OPT_CODE, DEPT_CODE, LOCATION, FUNCTION) enter the user’s home department code, home operating unit, home location, home function or enter N/A. Make sure that any value entered is active.
Do not delete row 1 (header fields) or row 2 (the template instructions).
In the admin screen, click on Action → Import From File
Click Browse… to locate the completed template.
Select the file and then Open.
Click on Continue
A pop up window with any confirmation, errors, or warnings will appear. Review the messages and click on the X to close the window.
To review the new entries, use the “Load Status” filter and select “New” then “Apply” at the bottom.
Select each record to review the data. If you need to update the record, you can click on “Update” at the bottom.
Import via template rules
Below are some good rules to keep in mind when you are working on imports via templates:
Ensure you use the correct template: download “fresh” for each upload
Leave column headers as they are: never change the Column headers in the first row of your import template
Second-row descriptions are your guide: you may change the content of these cells to be more specific to your organization or the type of data you are importing
Empty fields when updating data: never leave a column heading in your template with cleared or blank data below UNLESS you really wish to clear data
Formatting: keep in mind that the file you are working in has a specific format (comma separated values) - amounts should not contain unique characters such as commas, double spaces, or leading zero’s
Event Date: User must be assigned to a reporting period that contains the event dates in the import file. i.e., If the hours imported are for the event date 1/3/2023, make sure that the reporting period start date is on or before 1/1/2023 (Admin > Organization > Reporting Type).
