Approvers can designate their delegate approvers during their absence using "Out of Office" approver function. If an approver is not able to assign a delegate approver administrators can assign delegates on their behalf.


  1. On the top right-hand corner, click on your initials to view the drop-down menu options.
  2. Select My Preferences
  3. Click the Out of Office tab on the left.
  4. In the "Set Out of Office for" field 
    1. Defaults to "Me".
    2. If you need to set up an out of office for approvers that report to you, you can select Others in the drop-down if applicable. If 'Others' is selected, a new field 'Managers' will be added for you to select the manager you are setting the out of office for
  5. Out of Office - If you would like to turn on or off.
  6. Provide the duration of the assignment by filling in the Start and End Date fields.
  7. Select the delegate approver from the Approver 1 drop down list. Please note that only another user with approval rights can be selected from the list.
  8. Click Check Availability. A pop-up will generate letting you know if the substitute approver is available, if not, a system message will show stating they are out of office on the selected dates.
  9. Option - Select if the approver has delegated approval rights for:
    1. Same as my group - The delegate will have the same approval privileges as you
    2. Time - Time Only
    3. Expense - Expense Only
  10. If applicable, assign up to 4 additional delegate approvers. 
  11. Click Apply Changes to save changes.
