Admin can assign Commute Miles to individual users. If Commute Miles are defined these miles will be deducted from the user's mileage reimbursement, in case the travel took place from/to user's "Home" location.
To Define Commute Miles:
- Click on Admin
- Click on Organizations to expand the menu.
- Click on Employee
- Find the employee you want by either
- Entering either their first or last name in the search box at the top next to the magnifying glass and the word Reset.
- Click Enter to retrieve the results
- Entering search criteria in the Advanced Search on the right hand side of the screen.
- Click Apply
- Entering either their first or last name in the search box at the top next to the magnifying glass and the word Reset.
- Select the employee.
- Click on Commute Miles
- Click on the Add button to define user's Commute Miles
- Fill out the Fields:
- Effective Date: the date as of which the Commute miles are effective
- Home Address: User's home street address
- Home City: User's home City
- Home State: User's Home State
- Home Country: User's home Country
- Home Zip: User's home zip code
- Work Address: Select User's Work Office Location from the drop down list of addresses.
Select "HOME OFFICE" option if a user works from home and has no commute
Select "SELECT OFFICE" option to prompt the user to select a worked Office Location when creating a Mileage Expense.
- Click the Save All button to save the changes.
- Click the Set Distance button to calculate the Commute immediately otherwise the user will be prompted to verify accuracy of the assigned address, office location and the distance on the first entry of a mileage expense.
Note: The list of Office Locations needs to be added in the system ahead of time from Admin àShared Addresses under the "OFFICELOCATION" group
