Clocking In/Out on a Mobile Shared Device (tablet or phone)

 

Please note that a device needs to be setup as a shared device by an administrator ahead of time, otherwise it will function as a standard mobile application. For additional instructions on how to set up a device as a “Shared” device please see the corresponding section in the Admin guide Clock Assignment.

Below are the instructions for the user to log into Databasics application after the device has already been set up:

 

 

  1. To log into Databasics application and to start a clock in session, find the DATABASICS application icon that looks like this:
  2. Click on the icon to open it
  3. The system will prompt you to enter your User ID and password (these details should be provided to you by your local administrator at your company, if not reach out to your local support team)
  4. Enter your user ID and password and click “Login”. If it is the very first time logging into Databasics application, you will be prompted to reset your password and login using the new password.
  5. Once logged into the application click on the “Clock In” icon
  6. Provide the required distribution information (default values may be provided depending on the company setup.
  7. Click on “Clock In” button on the bottom of the screen to start the clock in session
  8. The following pop-up message will appear:
  9. Click “Ok” to be logged out of the system and to allow next user to login in order to start the clock in session.



Change the WBS distribution in the middle of the session using a shared device:

You will need to clock out of the existing session and start a new session with the new WBS distribution details:

  1. Log back into the Databasics application by click on the Databasics icon
  2. Provide your login credentials
  3. Click on the timer icon
  4. Clock Out of the existing session by clicking on the Clock Out button on the bottom of the screen:
  5. When prompted “You are about to Clock Out. Would you like to continue?”. Click “Yes”
  6. The following pop up appears “Clock Out is Completed…. Would you like to logout?”. Select “No”
  7. The system will bring you back to the Clock In Screen where the WBS distribution fields can be updated.
  8. Click on the drop down arrows on the right of Time Code, Level1, Level 2 etc fields to search and update the values in the field.
  9. Once all of the applicable fields are updated, click on “Clock In” button to continue the clock in session with the new distribution details.
  10. The following pop-up message will appear:
  11. Click “Ok” to be logged out of the system and to allow next user to login in order to start the clock in session.


Clock Out of a session on a Shared Device:

  1. Log back into the Databasics application by click on the Databasics icon
  2. Provide your login credentials
  3. Click on the timer icon
  4. Clock Out of the existing session by clicking on the Clock Out button on the bottom of the screen
  5.  When prompted “You are about to Clock Out. Would you like to continue?”. Click “Yes”
  6. The following pop up appears “Clock Out is Completed…. Would you like to logout?”, select “Yes”
  7. You will be logged out of the system



    Adding Lines from Favorites:

Any distribution details, time code-WBS combination, will be added to the user’s Favorites menu upon clock out and will be pre-populated on the next Clock In session.

Users can also manually copy lines from Favorites into their Clock In window as follows:

 

  1. The Favorites icon is only visible in case the clock in session has not yet been started.
  2. To open the Favorites click on the star icon on the left top corner of the window:
  3. Once on the Favorites screen, select the corresponding line and click on the following icon to copy the selected distribution into the timesheet clock in session.



Submit a timesheet at the end of the timesheet reporting period:


  1. Click on the Home screen  on top left corner of the window to go back to the menu list of items
  2. Click on “My Timesheets” tab
  3. Select the timesheet to submit and click on the Edit icon on the right of the timesheet
  4. Once the timesheet opens, click on Submit button on top right corner of the screen to submit the timesheet for approval


Modify hours on a timesheet without changing the Clock In/Clock Out details:


  1. Click on the Home screen  on top left corner of the window to go back to the menu list of items
  2. Click on “My Timesheets” tab
  3. Select a timesheet to modify and click on the Edit icon on the right of the timesheet
  4. Once the timesheet is open select a line to edit (if there is more than one line)
  5. Click on the edit icon to modify the distribution details:
  6. Click on the clock icon to see the list of days and hours allocated to the selected line:
  7. Then click on the edit icon on a specific day to modify hours for that day.
  8. In the Hours Detail screen update the Hours field and click Done button when done with the modifications
  9. Click on the paper clip icon to view an existing or to attach a new document.
  10. To update a Note on the line level or a Note attached to a specific date, click on the following icon
  11. To view the clock in/clock out details and the google location of the user when clocking in or clocking out of the session, click on the following icons(this is not updatable):
  12. To add a new distribution line without clock in/clock out details click on the following icon:
  13. To view/run out-of-the box PDF reports, click on the following icon:
