Define the required fields
Field Name | Description |
---|---|
Name | Name of the policy rule |
Week Start | Select a day of the week for weekly overtime validation:
|
Prorate Overtime | Utilized when overtime needs to be allocated across multiple projects. For Example, if Yes is selected, following the guideline that overtime begins after 8 hours of regular time, if a user logs 6 hours on project1 and 4 hours on project2, using this option would result in 1.2 hours of overtime on project1 and 0.8 hours on project2. |
Minimum hours between shifts Minimum minutes between shifts | ***These fields are only applicable if the Overtime is to be calculated by shift. ***This field is also an indicator if either one of the values is set to >0 the overtime is to be calculated by shift and not by day. The minimum hours and minimum minutes between shifts field is used to determine if there is a break/gap in a worker's shift is considered a new shift or part of if this gap is an interruption within the same shift or if a new shift is starting. The Minimum hours and minutes indicate how much break/gap is allowed between the worked time within the same shift. This field can be configured to any value, such as 0 hours 20 minutes. If at least one of these parameters is set to a non-zero value, it means that the system will consider the worker's time as being part of a the same shift. For example, if a worker clocks in at 5:00 PM, clocks out at 12:00 AM, and then clocks back in 15 minutes later, the system will consider this as a single shift as long as the minimum minutes between shifts is set to a 20 minutes or more. However, if the minimum minutes between shifts was set to 10 minutes, the system would consider this as two separate shifts. |

Please note that there are three exceptions to the Minimum Hours/Minimum Minutes between shifts fieldthe following conditions apply if Overtime needs to be calculated based on a shift:
Overtime can only be calculated based on a shift if Time In/Time Out or Clock In/Clock Out function is used on a timesheet, that will indicate the actual times the user came into work and left work.
The only way to indicate that the overtime needs to be calculated by shift is if the entry in either “Minimum hours between Shifts” or “Minimum minutes between shifts” is more than 0.
Overtime will not be calculated by Shift for the following cases:
If at least one entry in the timesheet does not have a clock in and clock out or time in a and time out
...
entries, the overtime will be calculated
...
by day rather than shifts. This is because without the clock in and clock out or time in and time out times, the system cannot determine the shift details.
If the work spans across multiple periods, such as starting on Monday at 5pm (end of the current period) and ending on Tuesday (the start of the next period) at 7am, the system will consider this as two separate days rather than one shift. This is to avoid any
...
discrepancies in the calculations of overtime in case the entries one of the separate timesheet periods get updated/changed after the overtime has already been calculated.
If the overtime is set to be calculated by shift, the overtime calculation based on the consecutive days option under Overtime Rule Policies will not be applied. This is because the overtime calculation based on the consecutive days option only works when the overtime is calculated

by day, not by the shift.
