Time Clock is used to track the worked time and not used for tracking the leave time.
How to Clock In:
- Once logged into the application, there are two ways to Clock In.
- On the left side of the home page, there is a tile that will look like MM/DD/YYYY Clock In
- Or On the top navigation ribbon, click on the downward pointing arrow next to the Timesheets tab drop down arrow next to Timesheets and then click MM/DD/YYYY Clock In
- On the left side of the home page, there is a tile that will look like MM/DD/YYYY Clock In
- The time clock window will pop-up
- Fill in all the required fields (Note: depending on your sites configuration, the fields may vary).
- Time Code:
- WBS: this would be Project. Task, Subtask depending on your company requirements, the fields may vary.
- Purpose: select the type of the notes to enter
- Notes: actual notes per entry
- Auto Clock Out: If enabled by your company, this will auto clock out the clocked in session after specific number of hours.
- Click on the magnifying glass to search for the available options for each field
- Press the Clock In button once all the information is filled in to start the time clock.
- To confirm the time clock is running the clock arrows will be in motion on the clock pop up as well as the application homepage.
- The pop-up window can be closed at this time by pressing the Close button
How to Switch/Update the time allocation

This action will record any time clocked against the previous work allocation and will start a new clock session against a new work allocation that you will select after the switch. This would be used in case you would like to finish the clock in session on one project, save the hours and start a recording time against a new project. |
- Click on the Time Clock icon to re-open the pop-up window
- In the pop-up window press the SWITCH button
- Select one of the entries from your Favorites template by pressing the Select link
- If you need to select a Project/Task distribution that is not already in your Favorites, press NEW button in the Favorites pop-up
- Search and select the new allocation distribution and press SELECT & SWITCH
- As an alternative you can also clock out of an existing session to end the clock in session under the existing allocation by pressing CLOCK OUT
- When prompted "You are about to clock out, Would you like to continue, press Yes
- Update the Time Code/Project/Task distribution as applicable and clock back in by pressing CLOCK IN
- Press Save, then Close
How to Correct the Time Allocation While the Clock is Running

This would be used in cases you have started a time clock with the wrong WBS allocation and would like to fix the allocation while the clock is still running. When clocking out, all of the time will be recorded against the latest project allocation selection. This option requires special security access and may not be enabled for all implementations, depending on your company requirements. |
- Click on the Time Clock icon to re-open the pop-up window
- In the pop-up window the WBS allocation fields will be open and updatable. click on the field to type over the project/task. subtask values or click on the magnifying glass to select a new value
- Update the Time Code/Project/Task distribution as applicable and press Save
- At the clock out the time will only be recorded against the latest WBS allocation in the fields.

This option would be used in those exception case scenarios when a user does not know the correct project allocation at the time when the time clock is started and the correction need to be made in the middle of a time clock session. |
How to Clock Out:
- From the home page of the application press CLOCK OUT and when prompted "You are about to clock out. Would you like to continue, press Yes.
- Or from the home page click on the clock icon, and in the pop up window press the CLOCK OUT button
Accessing your Favorites:
- On the Clock In or Clock Out screen you will see a star icon which will allow you pull up your favorites. Favorites save the charge combinations that you have previously used. This makes it easier to enter time without having to search each value.
- Once you click on the star icon, you will have access to your favorites to add to your Clock In screen.
- To add to your Clock In screen, click on Select to select and existing option or press NEW to select the values that are not in the favorites list.
Note: The time allocation ( information when used will be added to your favorites. Depending on your setup, on the next time you Clock In, the information may auto-populate for you. If auto-populate is enabled, the last used charging formation will show in the Clock In screen. This can always be updated.
Time Clock Access Roles
There are three types of access options when using the time clock. Depending on your company settings you may or may not have access to the following features:
- The ability to use the time clock but not be able to update the entries on a timesheet- in this scenario an administrator submits the timesheet at the end of the reporting period.
- The ability to use the time clock and be able to enter/update the leave time on a timesheet- a user is able to submit the timesheet at the end of the period
- The ability to use the time clock and be able to enter/update any hours on a timesheet- - a user is able to submit the timesheet at the end of the period
- The ability to use the time clock and be able to update the WBS distribution and the time clock/in out details only on a timesheet, without being able to update the total hours directly.
How to update Time Allocation and hours on a Timesheet
With the proper access rights, if granted by your company, you may be able to edit allocation and time entries directly on a timesheet. To do so:
- From the home page top navigation ribbon press Timesheet
- from the list of timesheet periods click select to edit a timesheet
- Once you are in the timesheet, you can update the charge information on the timesheet.
- Depending on the settings you may be able to update the WBS distribution as well as the total hours entered on a timesheet via time clock, or the access may be restricted so you can update the WBS distribution, but you are not able to update the total number of hours. In this case you would need to update the clock in entries as follows:
- Select a line item you are trying to update on a timesheet and press the clock icon on the left menu bar. The clock in details will be displayed in the bottom window pane
- Press the edit icon next to the click in details you are trying to update, an Update pop-up window will appear.
- Make the applicable changes and press Apply
- Click on "Save as Draft & Exit" to save the timesheet.
Accessing the Timesheet from the Time Clock window
- On If the access rights have been enabled on the Time Clock screen you will see a pencil icon which will allow you to access the current timesheet. If you do not see the pencil icon, you do not have access to edit your timesheet. You may only Clock In or Clock Out.
- Once you click on the pencil icon, you will see a prompt like below.
- If you click Yes, the current timesheet will open and you can make your edits.
NOTE: You can NOT make adjustments to your Clock In and Clock Out time.
