Clocking In/Out on a Mobile Shared Device (tablet or phone)


Please note that a device needs to be setup as a shared device by an administrator ahead of time, otherwise it will function as a standard mobile application. For additional instructions on how to set up a device as a “Shared” device please see the corresponding section in the Admin guide Clock Assignment.

...

  1.  To log into DATABASICS application and to start a clock in session.
  2. Click on the icon to open it
  3. The system will prompt you to enter your User ID and password (these details should be provided to you by your local administrator at your company, if not reach out to your local support team)
  4. Enter your user ID and password and click “Login”. If it is the very first time logging into Databasics application, you will be prompted to reset your password and login using the new password.
  5. Once logged into the application click on the “Clock In” icon

  6. Provide the required distribution information (default values may be provided depending on the company setup). The time allocation fields may also vary/
  7. Click on “Clock In” button Clock In button on the bottom of the screen to start the clock in session

  8. If prompted "Allow DATABASICS to use your location", select "Allow Whiie Using App"
  9. The following pop-up message will appear:

  10. Click “Ok” to be logged out of the system and to allow next user to login in order to start the clock in session.



Change the WBS distribution in the middle of the session using a shared device:

You will need to clock out of the existing session and start a new session with the new WBS distribution details:


  1. Log back into the DATABASICS App.
  2. Provide your login credentials
  3. Click on the timer icon Image RemovedClock Out of the existing session by clicking on the Clock Out button on the bottom of the screen: Image RemovedImage Added
  4. Press SIWTCH
  5. When prompted “You "You are about to Clock Out. Would to clock out and switch to a new task, would you like to continue?”. Click “Yes”

  6. The following pop up appears “Clock Out is Completed…. Would you like to logout?”. Select “No”

  7. The system will bring you back to the Clock In Screen where the WBS distribution fields can be updated.
  8. Click on the drop down arrows on the right of Time Code, Level1, Level 2 etc fields to search and update the values in the field.
  9. Once all of the applicable fields are updated, click on “Clock In” button to continue the clock in session with the new distribution details.Image Removed
  10. The following pop-up message will appear:

  11. Click “Ok” " press YES
  12. This action will route you to your Favorites screen. Scroll through the list and select one of the entries from your Favorites template by pressing the Select button
  13. If you need to select a Project/Task distribution that is not already in your Favorites, press the plus icon on top of the listImage Added
  14. Search and select the new allocation distribution and press SELECT & SWITCHImage Added
  15. A pop up window will appear confirming the "Clock in successful". Press OK to be logged out of the system and to allow next user to login in order to start the clock in session.


Clock Out of a session on a Shared Device:

  1. Log back into the DATABASICS App  
  2. Provide your login credentials
  3. Click on the timer icon

  4. When prompted “You are about to Clock Out. Would you like to continue?”. Click “Yes” YES

  6. You will be logged out of the system

    Adding Lines from Favorites:

Any distribution details, time code-WBS combination, will be added to the user’s Favorites menu upon clock out and will be pre-populated on the next Clock In session.

Users can also manually copy lines from Favorites into their Clock In window as follows:

Time Clock Access Roles

There are three types of access options when using the time clock. Depending on your company settings you may or may not have access to the following features:

  1. The ability to use the time clock but not be able to update/submit the entries on a timesheet
  2. The ability to use the time clock and be able to enter/update/submit the leave time on a timesheet
  3. The ability to use the time clock and be able to enter/update/submit any hours on a timesheet


Submit a timesheet at the end of the timesheet reporting period:



  1. Click on the Home screen  Image Removed on top left corner of the window to go back to the menu list of itemsClick on the arrow beside “My Timesheets” Image RemovedImage Added
  2. Scroll down to "My Timesheets" list
  3. Image Added
  4. Select the timesheet to submit and click on the Edit icon on the right of the timesheet 
  5. Once the timesheet opens, click on Submit button on top right corner of the screen to submit the timesheet for approval Image RemovedImage Added


Modify hours on a timesheet without changing the Clock In/Clock Out details:


  1. Click on the Home screen Image Removed Image Added on top left corner of the window to go back to the menu list of items
  2. Click on the arrow beside “My Timesheets” Image Removed
  3. Select a timesheet to modify Scroll down to "My Timesheets" list
  4. Select the timesheet to submit and click on the Edit icon on the right of the timesheet Image RemovedImage Added
  5. Once the timesheet is open, click on the edit icon on the line you want to modify the distribution details (if there is more than one line)

  6. In the Hours For Line screen update the Hours field and click SAVE button Or Image Removed when done with the modifications.Click on the paper clip icon Image Removed to view an existing or to attach a new document.

  7. To add a Note on the line level or a Note attached to a specific date, click on the following icon Image RemovedImage Added and after adding a note the icon will be like this Image Removed and Image Added and by clicking on it you can update note.
  8. To view the clock in/clock out details and the google location of the user when clocking in or clocking out of the session, click on the following icons(this is not updatable):
