Offline time entry allows the user to create time entries offline, then later sync them to the only version once a proper connection may be established. The following is a guide to entering time data offline as the full functionality, as in the online version, it is not present.
Once logged into the offline module select the timesheet period to edit
Once opened, the user will see the current timesheet data
Legend of the timesheet entry functionality
Adding New Activity or Editing an Activity
To add a new activity, click the + icon
This will bring the user to their Favorites list
Choose the > icon to select an activity or choose ADD TO FAVORITES.
The ADD TO FAVORITES option requires the user to know the actual project time codes during input.
Next, the view for adding a new activity and editing and activity are the same. Select the date and enter the desired hours for the selected project.
Click Save to save and stay on this form or Done to save and close the current entry.
Deleting Hours
On the lines view simply swipe the hours row from right to left, then click Delete.
Syncing Data Online
Once the proper internet connection can be established you can sync timesheet data either of the two methods.
A. Sync Data using the timesheet SYNC option
From within the timesheet click the SYNC button, then yes to confirm.
This will guide you back to the Online login form, enter your username and password
After logging in, the application will automatically take you to the current timesheet and prompt the following information.
Click yes to sync the offline data entries, then save or edit the timesheet as normal.
B. Sync data after switching to online mode from the login page
Once the offline mode is activated on a device, users will be presented with the option to select the desired mode of entry for the ongoing session. If the 'Offline' option is chosen, users will access the offline entry interface, where all current activities are temporarily stored on the device. Alternatively, selecting 'Online' will redirect users to the standard online mode, ensuring all activity is directly saved to the server.
Consider a scenario where a user has generated offline timesheet entries but subsequently chooses to resume work in online mode. This illustrative case demonstrates how data from the offline mode seamlessly transitions and gets transferred into the online entry system.
The user opens the app and selects WORK ONLINE
The user then logs in and opens their current timesheet
DATABASICS detects the user has offline entries available and prompts the following message.
From this step, the user can
A. Click YES and offline data will be moved to the timesheet
B. Click No and offline data will be kept in memory, but not moved to the timesheet
If the user chooses A, then the data would sync and both offline and online copies of the timesheet are now the same.
If the user chooses B, then the application will still see that the offline and online copies of the current timesheet are out of sync. The user can later click the offline icon from the menu bar within the timesheet to manage the unsynced data.
The offline icon will display the number of timesheet rows that our out of sync with the option to DELETE or IMPORT the data.
DELETE - Removes the offline data from the device, without syncing it to the online version
IMPORT - Brings the offline timesheet entries into the timesheet and makes the offline/online copies the same.
