How to create Ad Hoc Reports?

The Ad Hoc Editor allows you to create tables, crosstabs, and charts by dragging and dropping elements into the editor. You can:

  • Select report types

  • Add fields

  • Define groups

  • Select labels and styles

  • Select summaries and data formats for each field.

How to schedule Ad Hoc Reports?

DATABASICS Reporting allows you to create Jobs in order to run reports at pre-determined times. These jobs are run in the background and saved in the repository. You can also specify a file format and have those results e-mailed to yourself or other users as an attachment.

Only the user that created the scheduled report or an administrator can edit that job.

Version 8.2 Highlights

In the 8.2 release, several improvements and fixes were made, focusing on the most frequently requested features by users. Here are the highlights:

Setting Up a Proxy

DATABASICS proxy function allows users to access someone else’s timesheets and expense reports to assist with the entries or help troubleshoot an issue.

The system allows:

  • Separate proxy access for timesheets, expenses,

  • Proxy access with modify or Read-only rights

  • Using a proxy to start/end time clock sessions

  • Data restrictions by proxy when searching timesheets, expenses or editing the time clock entries.

Managing the Corporate Credit Card Transactions in DATABASICS

If your company is enrolled in a corporate card program, those transactions can be imported into DATABASICS on daily bases so the users can apply them to their expense reports manually or can have expenses automatically created via Recurring Expenses module.

Once the feed is enabled, different resources of the application can be used to monitor and manage the transactions:

  1. Search for the transactions by status: applied vs unapplied

  2. Send out the reminders for the unapplied transactions

  3. Map the transactions to the expense types your company has set up

  4. Monitor the daily feed via the load status notifications

  5. Ways to search for the missing credit card transactions

How to Connect Microsoft Power BI to DATABASICS

If you are a current Power BI user and if your preferred method of reporting is via Power BI, DATABASICS system can be connected to allow reporting against DATABASICS data using Power BI. Managing DATABASICS Email Alerts

DATABASICS E-mail reminders are configured to help administrators push the report submission and approval processes forward. The email reminders can be configured about:

  • Delinquent timesheets

  • Unapplied credit card transactions or advances

  • Unapproved PTO requests, timesheets or expense reports

Email set up best practices are essential to ensure the emails are configured correctly and are being delivered to the recipients.

DATABASICS Mobile Application

DATABASICS mobile application facilitates for the timesheet or expense entry and approval process for the users frequently traveling or working in the field.

The mobile application is free, easy to download and easy to use.

DATABASICS Time Clock

The Time Clock is a widely used method for time entry. Users simply clock in at the beginning of the day and clock out at the end.

The system can be set up on mobile or shared devices, allows for location validation of clock-ins, and provides easy editing of clock entries. This makes it convenient for both end users and administrators.
