DATABASICS SFTP

Accessing SFTP Site

An SFTP (Secure File Transfer Protocol) site allows you to upload and download data files pertaining to the profiles explained in this documentyour site. To connect, you must first download an SFTP client which allows you to connect to access the site. Ex. Filezilla

You will be prompted to add Username and Password  (SFTP to connect IP address needs to be white listed.

If the login is successful, you will be able to view the following folders:

  1. Data – folder where data loads to DATABASICS needs to be placed
  2. Expense – folder where expense data extracts from DATABASICS will be placed
  3. Time – folder where time data extracts from DATABASICS will be placed

Click on the applicable folder as indicated:

  • All files to be loaded to DATABASICS are picked up from the Data folder. If they are not in that folder, the file will remain unloaded.
  • All extract files will be placed in the Time or Expense folder respectively, with file names including a date and time stamp per the agreed design.

Each DATABASICS customer have a dedicated SFTP site for both their test and production environments.

Before accessing the site you will need to

  1. White list your IP Address
  2. Be granted password credentials

Please contact support@data-basics.com for both these steps.

IP White listing

To support the company security policy the customer must provide DATABASICS support (support@data-basics.com) with IP address(es) so that these can be whitelisted to gain access to SFTP site.  

Below are instructions on how to obtain your home network IP address to provide when you reach out to Support:

  1. Open a web browser and browse to google.com.
  2. Type in ‘whatsmyip’ in the search bar.
  3. Send us the IP address.

Credentials

Support will provide you with the following credentials for connecting to your SFTP Site:

  1. Site address (please note that the site will not be accessable through a browser)  
  2. Username
  3. Password 


Connecting to the SFTP with Filezilla

  1. Once Filezilla is opened fill in the following:
    1. Host =  DATABASICS SFTP address. There is one specifically for Test test and one for production.   
    2. Username = shown aboveas provided by support
    3. Password = provided separately
    Click on Quickconnect
    1.  as provided by support

Data on the SFTP Site

If the login is successful, click on "Quickconnect", you will be able to view the following:

  1. On the left side you will see your PC drives.
  2. On the right side you will see the SFTP folders.
    1. Data – folder where data loads to DATABASICS needs to be placed. 
    2. Expense – folder where expense data extracts from DATABASICS will be placed
    3. Time – folder where time data extracts from DATABASICS will be placed
  3. Find the files on the left on your PC and drop them in the “Data” folder on the right.


Note: All extract files are picked up from the Data folder. If they are (outbound from DATABASICS) will be placed in the "Time" or "Expense" folder respectively, with file names including a date and time stamp, per the agreed design.

All load files (inbound to DATABASICS) must be placed in the "Data" folder. If a load file is not in that folder, the file the data will not load and the data in the application will remain unloadedunchanged.
