In the Approval Flows tab, the approvers for the employee can be set up.

Please see how to globally find and replace an existing approver at the bottom of the page.

To set up Approvers:

  1. Click on Admin.
  2. Click on Organizations to expand itOn the left side of the screen, click the plus sign Image Added to expand the Organization menu.
  3. Click on  Employee.
  4. Find Search for the employee you want by either
  5. Entering either their first or last name in the search box at the top next to the magnifying glass and the word Reset.
    1. Click Enter to retrieve the results
  6. Entering search criteria in the Advanced Search using the Filter section on the right hand side of the screen.
  7. Click ApplyApply to retrieve your result.
  8. Select the employee .
    1. After you select an employee, you will see that you have various options to the left of that employee's information.
    Click on Approval Flowsand click on Approval tab.
  9. Click on the Add button Image Added in the toolbar. (by default, there will be a group with the user's ID, for example "JSMITH's Approval", and this group will be level 0).
  10. Enter the Level of the approval sequence. 0 being the first, 1 being the second, and so on if needed or if you need just one level, use the existing level 0.
  11. Click on Approvers to assign approvers.Click Addthe level and the Approvers tab will be selected.
  12. Click on the Add button Image Added in the toolbar.
    1. Employee ID - Search for Approver's Employee IDClick  - The first pop up window allows you to add the approver. You may add more than one approver at a time in this screen.
      1. Use the filter Image Addedto refine your search.
      2. Select the employee and or employees and click on OK.
      3. Search for additional employees if desired and repeat the process.
    2. Entry Type field : Select 
      1. Time/Expense
       if
      1.  - If this approver will approve both timesheets and expense reports.
      Select 
      1. Expense
       if
      1.  - If this approver will approve only expense reports.
      Select 
      1. Time
       if
      1.  - If this approver will approve only timesheets.
    3. Approval App Right field:
      1. Select Approve Only if  - If this approver is to be allowed only to approve or reject employee timesheets and/or expense reports, not modify them.
      2. Select Modify and Approve if  - If the approver is to be able to make changes and then approve the modified Timesheet timesheet or expense report.
      3. Select Review Only if  - If the approver is to be able only to review timesheet data available to approvers, but not participate in the approval process (Review-only approvers must access timesheet data through the Time Printable Reports menu).
    4. Approval Type field:
      1. Select Primary if  - If this approver is not allowed to approve his own timesheets and/or expense reports.
      2. Select Secondary if  - If this approver is to only approve the work of the primary approver.
      3. Select Both if  - If no approval restrictions are needed.
    5. Email Option field:
      1. Select Yes if  - If this approver wants to receive email notifications when timesheets and/or expense reports are released.
      2. Select No if  - If this approver does not want to receive email notifications. Email options and messages are configured under system options.
    6. Active: This is whether this
      1. Yes - If approver is active
      or not. By default this will show as Yes - Active
    Click Save

      2. No - If approver is inactive.
  13. To add additional approvers click the Add button Image Added and repeat.
  14. Click the Save button to save the record.

Global Find and Replace Approval: 

Scenario: 10 employees send their reports to Manager 1 for approval, who then sends them to Manager 2. Manager 1 leaves and the employees have no one to send their reports to before they go to Manager 2, therefore they must find a replacement. They use the Global Find and Replace to find Manger 3, who replaces Manager 1. 

  1. Click on Admin.
  2. Click on Organizations to expand it.
  3. Click on Employee.
  4. Go to Action.

  5. On the left side of the screen, click the plus sign  to expand the Organization menu.
  6. Click Employee
  7. Select an employee record
  8. Click on Action in the tool bar.
  9. Select Global Find and Replace Approval.Replace.

      1. Find Approver, select the existing approver.
      1. Replace With Approver, select the replacement approver.
      1. Approver From* - Select the approver that will be replaced.
      2. Approver To* - Select the approver that will inserted in place of the current approver.
    1. Click REPLACE
