To schedule a report to be run on a regular basiscreate a schedule:

  1. Choose Locate the report or dashboard you would like want to schedule : in the repository.
  2. Right-click the report or dashboard and select select Schedule... from  from the context menu
  3. Click on the Schedule Job button.
  4. On the Job screen, enter:
    • A Label for the Job
    • A Description of the job is optional
    • Click the Next button.
  5. On the Schedule screen, enter:
    • Time Zone: The defaults is the server time zone.
    • Start: Choose whether to start Immediately or in the future. Click on the calender icon to select a future start date and time.
    • Select No Recurrence to run the report once.
    • Select Simple Recurrence to schedule the job at simple interval.
      • Occur: Select how long the report should be run for:
        • Indefinitely: The job will run until it is deleted.
        • Until: The job is run until a date is reached. Click on the calendar to select a date.
        • Times: The job is run a specified number of times.
      • Every: Select the interval at which the job will be run (Minutes, Hours, Days, Weeks).
    • Select Calendar Recurrence to schedule the job at a detailed interval.
      • End date: The last date and time that the report will be run.
      • Minutes: Minutes of the hour (0-59) that the report will be run. To run the report multiple times in an hour:
        • X, Y, Z runs the report at minutes X,Y, Z.
        • X-Z runs the report every minute from X to Z.
        • * runs the report every minute.
      • Hours: Hours of the day (0-23) that the report will run. To run the report multiple hours a day:
        • X, Y, Z runs the report at hours X, Y, Z.
        • X-Z runs the report every hour hour from X to Z.
        • * runs the report every hour.
      • Days: The days that the report will run on:
        • Every Day: runs the report every day.
        • Week Days: select the days that you want the report to be run on.
        • Month Days: select the days of the month (1-31) to run the report.
    • Click the Next button.
  6. On the Output screen, enter:
    • Output formats: Select at least one format.
    • Folder: Select the folder that the output will be saved.
    • Sequential File Names: Check this box to attach a time stamp to the names of the files. Used when the report is on a recurring schedule.
    • Overwrite Files: Overwrite files with the same name as the report being scheduled.
    • Email Notification:
      • To: Enter e-mail addresses to send the reports to
      • Subject: The subject of the e-mail being sent
      • Message Text: The text of the e-mail.
      • Attach Files: Select this option to attach the report as a file to the e-mail.
      • Skip Empty Reports: If selected, the system will not attach an empty report.
    • Click the Save button.

3. Click Create ScheduleThe Schedule tab of the scheduler appears.

4. Set a start date, choosing whether to run immediately or on a specific date. If a specific date is selected, click the calendar icon Image Added to select a start date and time.

5. Specify the time zone for the schedule. The default time zone is the time zone of the server, the time zone you entered at log in. If you’re in a different time zone, set this field accordingly.

6. Choose a recurrence setting. If you select Simple or Calendar Recurrence, additional controls appear on the page.


None: Run the job once.
Simple: Schedule the job to recur at a regular interval, specified in minutes, hours, days, or weeks.
Calendar: Schedule the job to recur on days of the week, days of the month, specific dates, or date ranges.

If you set up a job with simple recurrence to start immediately, the job schedule will change after export/import or a server restart. This happens because the job does not retain the previous run history and therefore starts immediately after import or restart. If you have a large number of scheduled jobs, all scheduled jobs with simple recurrence will attempt to start at the same time after export/import or restart. This can impact server performance. In addition, some scheduled jobs may be locked out and they will continue to try to run.

To ensure a recurring schedule does not change after export/import or restart, either use simple recurrence with a specific start time, or set up calendar recurrence.

7. If the report or dashboard you are scheduling has input controls that prompt for user input, click the Parameters tab.

Saved values, if there are any, appear in a drop-down list at the top of the page. In the Use saved values drop-down, you can set the input controls defined for the report or dashboard you’re scheduling. You can set the input values for the scheduled job, and click Save Current Values to save the input value as a named set of values.

8. Choose a set of saved values, or set the input controls.

9. Click the Output Options tab and set the output format and location.

10. Click the Notifications tab and set up email notification.

11. Click Save. The Save dialog box appears.

12. In the Scheduled Job Name field, enter a name for the job, for example, Weekly Report. The description is optional.

13. Click Save to save the schedule. The job appears in the list of saved jobs for the report or dashboard.
