In the Approval Flows tab, the approvers for the employee can be set up.

  1. Click on Admin.
  2. Click on Organizations to expand it.
  3. Click on Employee.
  4. Find the employee you want by either
    1. Entering either their first or last name in the search box at the top next to the magnifying glass and the word Reset.
      1. Click Enter to retrieve the results
    2. Entering search criteria in the Advanced Search on the right hand side of the screen.
        Click on
          1. Click Apply
      1. Select the employee you want to set up approvers for.
        1. After you select an employee, you will see that you have various options to the left of that employee's information.
      2. Click on Approval Flows.
      3. Click on Add (by default, there will be a group with the user's ID, for example "JSMITH's Approval", and this group will be level 0).
      4. Enter the Level of the approval sequence. 0 being the first, 1 being the second, and so on.
      5. Click on Approvers Approvers to assign approvers.
      6. Click on Add to add an approver.
      7. Choose the approver(s) that you want and click OK
      8. Once the approver(s) is/are added, they are placed in a row under six columns. The columns are:
      9. Employee ID: This is where the employee's ID will be.
      10. Entry Type: This is what kind of entry they will be approving (Time, Expense, Time/Expense).
      11. Approval Right: This is what kind of approval rights that employee will have (Approve Only, Modify and Approve, Review Only).
      12. Approval Type: This is what kind of approval type it will be (Primary, Secondary, Both)
      13. E-Mail Option: This is the e-mail option (yes to e-mail, no to not get e-mail)Click Add.
        1. Employee ID - Search for Approver's Employee ID
          1. Click OK.
          2. Search for additional employees if desired and repeat the process.
        2. Entry Type field : Select Time/Expense if this approver will approve both timesheets and expense reports. Select Expense if this approver will approve only expense reports. Select Time if this approver will approve only timesheets.
        3. Approval Right field:
          1. Select Approve Only if this approver is to be allowed only to approve or reject employee timesheets and/or expense reports, not modify them.
          2. Select Modify and Approve if the approver is to be able to make changes and then approve the modified Timesheet or expense report.
          3. Select Review Only if the approver is to be able only to review timesheet data available to approvers, but not participate in the approval process (Review-only approvers must access timesheet data through the Time Printable Reports menu).
        4. Approval Type field:
          1. Select Primary if this approver is not allowed to approve his own timesheets and/or expense reports.
          2. Select Secondary if this approver is to only approve the work of the primary approver.
          3. Select Both if no approval restrictions are needed.
        5. Email Option field:
          1. Select Yes if this approver wants to receive email notifications when timesheets and/or expense reports are released.
          2. Select No if this approver does not want to receive email notifications. Email options and messages are configured under system options.
        6. Active: This is whether this approver is active or not.
      14. Set a minimum amount and a maximum amount if you want that particular approver group to have approval based on a certain amount range.
      15. Click Save. That user is now the approver for your employee
        1. By default this will show as Yes - Active
      16. Click Save.
