Reporting periods are used to determine the period dates each timesheet covers. Time supports five six types of reporting periods: Weekly, Biweekly, Semimonthly, Monthly and Custom, Custom, and Si-Monthly as Weekly. Time can support multiple reporting periods, however an employee can only be assigned to one reporting period at a time. To assign an employee's reporting period, go to Employee Setup.

  • Access the Reporting Period setup window.
    • Expand Organization
    • Click on Reporting Period
  • Click the Add button to create a new reporting period.
  • Fill in the following fields:
    • Report Type*: Select the report type for this reporting period
      • Weekly: The reporting period is one week (7 days) long.
      • Biweekly: 2 week (14 day) reporting period
      • Semimonthly: Splits each month into 2 reporting periods
      • Monthly: Monthly reporting period. The number of days may vary by month.
      • Custom: Reporting periods are irregular and are determined by an administrator.

      • Si-Monthly as Weekly: Semimonthly split into weekly timesheets.
    • Reporting Period*: Enter an ID name for this reporting period. The maximum length is 100 characters.
    • Name: Enter a name for this reporting period.
    • Entry Format*:  Defaults Hours, but if you would like to have a reporting period based on Time In/Out then you would need to select "Time" option for Entry Format.
      • Hours:  To capture the number of hours per day. (For Clock In Clock Out ONLY Entry, the entry format has to be hours)
      • Time: To capture Time In and Out per day per line.
    • Enable Attachment : (Version 6.1 and later) When enabled users will be able to attach documents to timesheets

      • Period Starts is the ending day of the first time period.
      • Closing Day day is for informational purposes only.
      • The Period Starts and Effective Date need to be the same date.

    • Closing Day*: Select the day in which the reporting period ends. The values vary depending on the Report Type selected
        • Weekly: select the day of the week.
        • Monthly: select "End of the Month."
        • Semimonthly: Select the date (number) for the first reporting period of the month to end.
        • Semimonthly Closing Day2: select "End of the Month" if creating a Semimonthly reporting period. Otherwise, leave it blank.

    • Period Starts*: Enter the date that this reporting period takes effect.
    • Period Ends*: Enter the date that this reporting period will no longer be used.
    • Effective Date*: Enter the date this report will take effect.
    • Entry Increments in*: Determines in what time increments hours can be added to a timesheet.
      • Whole: Hours are reported as whole hours. Fractions of an hour cannot be added
      • 1/2: Hours can be reported down to the half hour. Use decimals to to report fractions of an hour(e.g. 2.5).
      • 1/4: Hours can be reported down to the quarter hour. Use decimals to report fractions of an hour (e.g. 1.25 or 3.75).
      • 1/10: Hours can be reported down to the tenth of an hour. Use decimals to report fractions of an hour (e.g. 3.2 or 4.9).
      • Any: Hours can be reported down to the hundredth of an hour. Use decimal to report fractions of an hour (e.g. 1.01 or 2.99)
  • PTO Month Start On: This option is only used if you are using Time Off Request option.   PTO Month Starts On will be used to set the Yearly Accrual Period.  Default is January. 
  • Click Save when done creating the reporting period.

After creating a custom period, you must define them. From the Reporting Periods window:

  • Once custom period is saved, the application will take you directly to the Periods tab for the reporting period.
  • Click Add and enter in the following:
    • Period Starts: Enter the start date for the first custom time reporting period
    • End DatePeriod Ends: Enter the closing date for the first custom time reporting period.
  • Click the Add button to add additional Start & End dates.
  • Repeat as needed to add all of the reporting period's Start & End dates.
  • Click Save when done defining the custom period.Click Back to return to the reporting period window.
