Approvers can designate their delegate approvers during their absence using "Out Of Office" approver function. If an approver is not able to assign a delegate approver administrators can assign delegates on their behalf.

- On the top right hand corner, click on the drop down arrow next to your name.
- Select My Preferences
- Click the Out Of Office tab on the left.
- In the "Set Out of Office for" field
- Defaults to "Me".
- If you need to set up an out of office for approvers that report to you, you can select them in the drop down box if applicable.
- Out of Office - if you would like to turn on or off.
- Provide the duration of the assignment by filling in the Start and End Date fields.
- Select the delegate approver from the Approver 1 drop down list. Please note that only another user with approval rights can be selected from the list. Alternate approver (The alternate MUST be an existing approver that is set up in Databasics.)
- Option - Select if the approver has delegated approval rights for:
- Both - Time & Expense
- Time - Time Only
- Expense - Expense Only
- If applicable, assign up to 3 additional delegate approvers.
- Click Apply Changes to save changes.

Important Note: You only could set approvers out of office if they are already set an approver in the system. For Example A if an employee is not set as an approver in the system, then Employee A will never show up in the available approvers to set for out of officeas Alternate approver. One thing you could do is to setup an approval team group with no users but only approvers that could be assigned for out of office.
